ECAT After School Programme Terms and Conditions


1. After School Care Enrolment

1.1 Enrolment is for a full school term. 

1.2 A full complete enrolment is required in order for your child to be accepted on the programme. Please use the online enrolment application form. A complete enrolment includes primary contact details, emergency contact details, notification of health issues, and permission form completed. Once received by ECAT, we will process your enrolment and confirm when pick up date will commence.

1.3 It is parents responsibility to keep our records of their child/rens enrolment up to date. Parent's must notify ECAT staff of any changes to their enrolment information immediately i.e contact details, authorised pick up person etc. 

1.4 ECAT enrolment details can be changed at any time in writing with no less than two-weeks notice. Any change in attendance days must be clearly stated on the letter advising ECAT.  

1.5 The ECAT Committee reserves the right of refusing or cancelling enrolment at any time, without providing reason for doing so;

      1.5.1 Any member or person guilty of improper or insulting behaviour at any time towards the ECAT Committee or any other member thereof.

      1.5.2 Any member or person may be suspended for such periods as the ECAT Committee determines, or may be expelled as a member from ECAT.


2. Casual Care Enrolment (Aditional bookings)

2.1 For any casual care bookings, parent's are required to advise ECAT at the earliest possible. Pending staff children ratios, ECAT will then confirm days requested. Please enrol using the online enrolment form for Casual Care.


3. Fees

3.1 Invoices will be sent out via email every fortnight of every school term. Parent's are expected to provide a primary email address for the ECAT finance person to send invoices to. Parent's are expected to pay all fees two-weeks in advance and by the due date. 

3.2 Failure to keep up with invoice payments will incur late ($15.00 if one-week after due date) and administration fees ($5.00 per reminder email). Parent's are expected to keep invoices up to date otherwise risk having child/ren withdrawn from the programme at any given time. ECAT reserves the right to engage a debt collecting agency to recoup any and all outstanding fees if deemed necessary.  

3.3 If a child is booked in for a particular day and does not attend, fees are expected to be paid for that day. Non-attendance does not mean non-payment for the booked day.

3.4 WINZ applicants must make full fee payment untill ECAT receives notice of approval. WINZ applicants must see the ECAT Operations Manager(s) at the earliest possible to complete the OSCAR WINZ subsidy form. It is then the parent's responsibility to ensure their application is processed immediately, and that the notice of approval is given to ECAT. 

3.5 In case of an accident, injury or illness, emergency medical care may be obtained at Parent's expense in the event that Parent's cannot be contacted immediately.


4. Sickness / Cancellations / Absenteeism

3.1 ECAT staff cannot take responsibility for caring of sick children. ECAT has the responsibility of ensuring the wellbeing of other children so please leave sick children at home.

3.2 If child/ren become sick during the programme, parents will be contacted and expected to collect their child/ren at the earliest possible opportunity. 

3.3 In the event your child/ren is going to be absent for any reason on the day/s scheduled to attend, please contact the programme manager immediately.  


5. Staff and Children Management

5.1 ECAT staff will exercise all reasonable steps to ensure the health, safety and well being of all children at all times. 

5.2 ECAT staff are not responsible for disciplining children in attendance. Any issues or matters that arise will be passed onto parents for action.

5.3 If continued misbehaviour is causing on-going disrutption to ECAT staff and/or other children, matters will be formally raised with parents. If matters are deemed serious enough, the process that will be followed is: 

      5.3.1 A formal warning will be issued. This will include a formal meeting with ECAT Committee.

      5.3.2 A written warning will be issued (if the necessary behaviour improvements have not been made).

      5.3.3 Dismissal from ECAT. 

5.4 Acceptable standards of behaviour are entirely at the discretion of the ECAT Operations Manager(s).

5.5 Threatening language and behaviour will not be tolerated at any time. Whether this is towards ECAT staff, ECAT Committee members or ECAT children. A high level of profssionalism is expected from both parents, children and staff. If a situation has been deemed inapproriate and serious enough, immediate dismissal from ECAT will be at the sole discretion of the ECAT Committee. 


6. Programme

6.1 Specific activities may be subject to change due to unfortunate or unforeseen circumstances e.g weather. As much warning as possible will be provided to parents of any changes to programme detail.


7. Property

7.1 ECAT will not accept liability for the loss or damage to child's property.

7.2 Any items left in the "lost property" basket by the end of each Holiday Programme will be donated to the Miramar Salvation Army.


8. Parent's Obligations

8.1 Parents will provide appropriate clothing for their children. These include sun hats, warm and spare clothes.

8.2 Parents (or authorised person) are to sign their children out every day. Parents are to record the time of pick up and sign out to acknowledge children are released from ECAT care. This is a legal requirement to retain accurate records. It is also imperative for the health and safety of all our children in an emergency event. i.e. Earthquake or tsunami where evacuation is required.

8.3 If parents wish for their child/ren to walk to and from base, and unavailable to sign their child/ren in and out, they must personally provide written consent that is signed and dated.

8.4 Children are to be collected promptly from the programme. At the very latest, all children are required to be collected no later than 6.00pm. As happens on occasion, if a parent is delayed or will be later than 6:00pm, parents must call ahead and warn ECAT staff of any delay. If you fail to call and inform staff that you ar going to be delayed, a $16.00 penalty payment will on occassion be charged.
